Every person, properly on file.
Contracts signed on the phone, certificates with renewals that remind before they lapse, training that tracks itself, onboarding that runs while you sleep. Nothing in a drawer.
What’s on file, and what happens by itself
Documents and e-sign
Contracts, handbooks, policies — sent to the phone, signed with a finger, filed against the person.
Certificates and renewals
Manual handling, background checks, site safety cards, first aid — with expiry dates and reminders 60, 30 and 7 days out.
Onboarding
New starter? A checklist runs itself: documents to sign, training to do, the app to install. You watch it fill in.
Training
Short courses on the phone, a quiz at the end, a record on file. Renewals are training too.
Surveys and recognition
Three questions a month people actually answer, and a way to say thanks that everyone sees.
Leave and time off
Requests from the app, approved in a tap, on the rota the moment they’re approved.
Nothing lapses quietly.
A certificate that expires while someone is on site is a problem you find out about too late. Teams reminds the person and you, and shows who is due on the rota itself.

Questions about HR
Is an e-signature on the phone legally binding?
For employment contracts and policies, yes — the Electronic Commerce Act 2000 and eIDAS recognise electronic signatures. Teams records who signed, when, and from which device. This is not legal advice; ask your solicitor about anything unusual.
Where are documents stored?
In the EU, encrypted, with access per role. You can export a person’s whole file in one click.
Can I bring in what I already have?
Yes — upload PDFs against people in bulk, or import a spreadsheet of expiry dates and Teams builds the reminders.
Every person on file by Friday.
Free for up to 10 people. Upload what you have; the reminders build themselves.
